The County of San Mateo Health System's Public Health, Policy and Planning Division (PHPP) is seeking a well-qualified individual for the position of Administrative Assistant II-Limited Term, to assist management personnel in the administrative office of the Whole Person Care Pilot, in such activities as budgeting, project management, IT and analytics support, analysis of office methods and procedures, personnel transactions and to do related work as required for the Whole Person Care Initiative.

Responsibilities include, but are not limited to:
  • Supervise the office services and business management activities including such functions as purchasing, budgeting, payroll, personnel transactions, and typing services.
  • Assist the Management Analyst with reporting of fiscal and metric data.
  • Maintain auditing, accounting and budget controls on a level not requiring a professional accountant.
  • Assist staff in analyzing budget needs and assisting in the preparation of budget requests.
  • Assist in the preparation of reports for Federal and State agencies.
  • Confer and coordinate activities for the Whole Person Care Pilot
  • Assume responsibility for the proper and efficient function of the office of assignment and the enforcement of office and agency rules and regulations.
  • Study departmental management procedures and prepare reports with recommendations for improvement.
  • Prepare procedures manuals and assist in preparation of other departmental publications.
  • Manage department contracts and agreements.
  • Assist with registration and other functions related to electronic health records.
  • Assist with data analysis and IT needs.
  • Project management for small to medium projects relevant to meeting the Whole Person Care goals.
  • Provide complicated calendaring through Outlook.
  • Take meeting minutes.
  • Perform related duties as assigned.
This is a limited term, at-will position.  Limited Term Employees are assigned to assignments not to exceed three years. They receive medical and dental benefits, similar to regular employees, and a defined contribution retirement plan.
